Questions people ask

Who can add a new record?

Managers and admins. Anyone else sees a message saying that role is needed.

More in “Add a new record”
Why does the page say no areas are set up?

A record needs a place and a commissioner. Ask an admin to create them first.

More in “Add a new record”
Can I add many records at once?

Yes, with the Import Studio. Use this page for one at a time.

More in “Add a new record”
The new record is missing from the planner. Why?

It has no one on its caseload. Add a mentor from the allocations list.

More in “Add a new record”
Can I add someone who is already here?

Search first. If the person exists, do not make a second record. Correct the existing one.

More in “Add a new record”
Where are the contacts?

In the Profile tab, in the Contacts section. See the guide to contacts.

More in “Find the right tab on a record”
Where do I find the goals?

In the ILP tab. Press a goal to see the sessions that targeted it.

More in “Find the right tab on a record”
Why can't I see a tab?

Tabs and edit controls depend on your role and your organisation's settings. Ask a colleague who has access.

More in “Find the right tab on a record”
What is the Journey tab?

It shows what has happened over time, with links back to the original entries.

More in “Find the right tab on a record”

More in “Find the right tab on a record”
Where do I record consent?

On the record, in the Consent section of the Profile tab, with the record consent button.

More in “Record consent and check its scope”
Does a returned pack record consent by itself?

No. A member of staff confirms the answer and records it.

More in “Record consent and check its scope”
What if the family changes their mind?

Follow the consent section's actions and your organisation's procedure. Do not overwrite the earlier answer.

More in “Record consent and check its scope”
Is an empty entry a yes?

No. A missing answer is unknown, not given.

More in “Record consent and check its scope”
Can a family answer without staff?

They can answer a pack themselves. Staff then confirm it.

More in “Record consent and check its scope”
What is the difference between Evidence and Documents?

Evidence shows progress, such as photos and course work. Documents hold forms and reports.

More in “Add evidence and supporting documents”
Can I upload a photo?

Only if photo consent allows it. Check the Consent section first.

More in “Add evidence and supporting documents”
Where is the copy of an accepted referral?

In Documents on the new record.

More in “Add evidence and supporting documents”
Why did my upload fail?

Read the message, check the file type and size, and check the list before trying again.

More in “Add evidence and supporting documents”
A file was filed against the wrong record. What now?

Tell a manager. Do not upload it again to hide the error.

More in “Add evidence and supporting documents”

More in “Create and update a learning plan”
What does Pending approval mean?

The assessment is written but not yet approved by someone authorised.

More in “Read and check a risk assessment”
Does opening the page approve it?

No. Approving is a separate step for managers and admins.

More in “Read and check a risk assessment”
What does Mark reviewed today do?

It records that the required check was done today. Use it only after doing the check.

More in “Read and check a risk assessment”
Where do I add a hazard?

In the register, with the add a hazard button. See the guide to adding risks.

More in “Read and check a risk assessment”
A hazard needs a concern as well. What now?

Raise a concern separately. A risk entry does not tell the lead about harm.

More in “Read and check a risk assessment”
Where do I open a report?

On the record, in the Reports tab. Press the report to open the composer.

More in “Complete a half-term report and send it”
Why can't I edit a report?

It may be signed off, or it belongs to someone else. The database decides who can edit.

More in “Complete a half-term report and send it”
What is the Last time we recommended panel?

It shows the previous report's recommendations, to help you follow them up.

More in “Complete a half-term report and send it”

Where do I send a signed-off report?

Managers and admins send it from the reports screen. See the sending guide.

More in “Complete a half-term report and send it”
Why can't I see the Caseload allocations page?

It is for managers and admins. An admin can also give it to DSLs. Ask yours if you need it.

More in “Find and filter your records”
Why is someone missing from the list?

They may be archived, which takes them off every live list. Look in the archive. You may also not have access to their record.

More in “Find and filter your records”
What does the Safety warning card show?

It shows records with a live lone-working warning, for example a dog or a parking rule. Open the record to read the warning before you visit.

More in “Find and filter your records”
What does SG clear mean?

It means the record has no open safeguarding concerns. A number means that many are still open.

More in “Find and filter your records”
How do I find one person quickly?

Use the search box at the top of any page, or the search box on this list. Type a name or a reference code.

More in “Find and filter your records”
Does a filter change anyone's record?

No. Cards, filters and sorting only change what you see on this page.

More in “Find and filter your records”
Why can't I see the add buttons?

Only managers and admins can change the team. A DSL who has been given this page can read it but not edit.

More in “Set who looks after a record”
What does Cover until do?

It puts a mentor on the caseload for a set time. After the date they come off by themselves.

More in “Set who looks after a record”
Can I add two DSLs to one record?

Yes. One of them is the main lead. Make another the main lead from their picture if the first leaves.

More in “Set who looks after a record”
Does removing a mentor delete their notes?

No. Their sessions and notes stay. They only lose access to the record from now on.

More in “Set who looks after a record”
Why does the key worker column not appear?

Your organisation does not name key workers. The caseload is then the whole team.

More in “Set who looks after a record”
Is archiving the same as deleting?

No. The record, history and safeguarding notes are kept, and a manager can restore the record at any time.

More in “Archive and restore a record”
Who can archive or restore a record?

Managers and admins. The archive list is theirs too.

More in “Archive and restore a record”
Why is the Archive button blocked?

The young person has an open concern raised by a person. Close it on the safeguarding board first, then try again.

More in “Archive and restore a record”
What happens to their booked sessions?

Future ones are cancelled and the rooms are released. Restoring does not bring them back, so re-book what you still need.

More in “Archive and restore a record”
Can a mentor see an archived record?

Not on their lists. The record is still held, and managers can open it from the archive list.

More in “Archive and restore a record”
Where do I download the leavers list?

On the archive list, press Download leavers (CSV). It contains the same people as the page.

More in “Archive and restore a record”
Where do I find the young person's contacts?

Open the record, choose the Profile tab, then go to Contacts. The jump links at the top of the tab take you there.

More in “Add, check and remove contacts”

No. They are hidden from the record but kept for the audit trail until they are restored.

More in “Add, check and remove contacts”
Why can't I restore a contact?

The restore button is not shown while you view as another user. Stop viewing as them, then try again.

More in “Add, check and remove contacts”
Who can reassign a key worker?

Managers and admins. The page tells anyone else which role is needed.

More in “Hand a record to a new key worker”
Why can't I find the reassign option?

It shows only where your organisation uses key workers, and only for managers and admins. Otherwise change the team from the allocations list.

More in “Hand a record to a new key worker”
Can I choose a date in the past?

Yes, if the handover already happened. You cannot choose a future date.

More in “Hand a record to a new key worker”
What happens to the old key worker's notes?

They stay on the record. The old key worker only loses their place on the caseload from the changeover date.

More in “Hand a record to a new key worker”
What does the form show before I save?

It shows the current key worker, a list of other active staff, and the changeover date. Nothing is saved until you press the button.

More in “Hand a record to a new key worker”
Who can transfer a record?

Managers and admins. Anyone else sees a message naming the role needed.

More in “Move a record to another place or commissioner”
Can I undo a transfer?

Not directly. Record another transfer with the correct area and a new start date. The history keeps both.

More in “Move a record to another place or commissioner”
Why can't I pick an earlier date?

The date must be after the day the current placement began. Choose a later date, or correct the earlier placement first.

More in “Move a record to another place or commissioner”
What does the handover option do?

It lets the staff you tick keep access to the record for up to twenty-eight days. Their access ends by itself.

More in “Move a record to another place or commissioner”
Where do I see the young person's past placements?

On this page, under Journey timeline. Each placement shows its dates, area, commissioner and reason.

More in “Move a record to another place or commissioner”
Does a meet and greet count as a session?

No. It has its own record and is never counted in attendance or delivery figures.

More in “Record a meet and greet”
Why can't I sign off my own meet and greet?

A different manager must read and sign it off. You see a note saying so when you wrote it yourself.

More in “Record a meet and greet”
Can I change one after it is signed off?

Not directly. A manager can re-open it, and then it waits for sign-off again.

More in “Record a meet and greet”
What if I only have half the notes?

Save it as a draft. A draft can hold anything. You need your notes only when you send it to a manager.

More in “Record a meet and greet”
Where do I raise a worry from the meeting?

On the safeguarding part of the young person's record. Do it straight away, not after sign-off.

More in “Record a meet and greet”
Who sees the removed ones?

A removed meet and greet is no longer listed, but a manager can see that it was removed.

More in “Record a meet and greet”
Who can use the data protection page?

Only admins. Everyone else sees a message saying the admin role is needed.

More in “Restrict, export or erase one record's data”
What does restricting processing do?

It makes the record and its linked work read-only. Nothing can be added or changed until you lift the restriction.

More in “Restrict, export or erase one record's data”
Is erase the same as delete?

No. Erase seals the record so it is no longer used. It is kept until its retention period ends.

More in “Restrict, export or erase one record's data”
Why am I asked to sign in again?

Restrict, erase and purge are serious, so you must have signed in recently. Sign in and repeat the step.

More in “Restrict, export or erase one record's data”
Can I get back a session that was removed?

Yes, within thirty days. Press Restore beside it. After a purge it cannot come back.

More in “Restrict, export or erase one record's data”
Where is the reason kept?

In the audit log, with who did it and when. Write a clear reason of at least ten characters.

More in “Restrict, export or erase one record's data”
Who can add a risk assessment?

Mentors, managers and admins. Only managers and admins can approve one.

More in “Add a risk assessment and its hazards”
Why can't I edit an approved assessment?

Approval locks it for that cycle. Start a new review to change it. You can still record an action as done and add comments.

More in “Add a risk assessment and its hazards”
What does Pending approval mean?

The assessment has been written but nobody authorised has approved it yet. Ask a manager to approve it.

More in “Add a risk assessment and its hazards”
What is a new review?

It starts the next cycle of the same assessment, so you can update controls and have them approved again.

More in “Add a risk assessment and its hazards”
I followed an old link and landed on the register. Why?

Single risk pages were retired. The register on the record holds every risk, so you are sent there.

More in “Add a risk assessment and its hazards”
Does closing a hazard delete it?

No. It stays on the register as closed, so the history is kept.

More in “Add a risk assessment and its hazards”
Does the referrer need an account?

No. They use the private link in the email. It is unique to them and expires after the days you set.

More in “Send a referral form to a school or partner”
The email did not reach the referrer. What now?

Press Copy link in the result box and send the link yourself. The referral is already saved.

More in “Send a referral form to a school or partner”
Can I send the same referral twice?

Send a nudge instead from the referral's own page. A second form would make a second referral.

More in “Send a referral form to a school or partner”
How long does the link last?

Thirty days unless you change Link expires after. You can choose from one to a hundred and twenty days.

More in “Send a referral form to a school or partner”
Do I have to enter the young person's name?

No. It only helps the email read well. Only the referrer's email is required.

More in “Send a referral form to a school or partner”
Who can accept a referral?

Managers and admins. Anyone else sees a message saying a manager or admin role is needed.

More in “Check, accept or reject a referral”
What happens to the young person after I accept?

A draft record is made and you land on it. Add a key worker, then send the welcome pack from the onboarding board.

More in “Check, accept or reject a referral”
Does the referrer hear about it?

Yes. They get an email when you accept, and one with your reason when you decline.

More in “Check, accept or reject a referral”
Can I accept the same referral twice by mistake?

No. A second accept returns the record that already exists. It will not make a duplicate.

More in “Check, accept or reject a referral”
Why can't I decline without a reason?

The reason goes to the referrer and is kept on the referral, so it is required.

More in “Check, accept or reject a referral”
Where is the referral kept after it is accepted?

A dated copy is filed in the record's Documents. You can file another from the referral page if needed.

More in “Check, accept or reject a referral”
Who can use the onboarding board?

Managers, admins and DSLs can open it. Only managers and admins can move a card or change a stage.

More in “Work the onboarding board”

It was sent more than seven days ago and the parent has not answered. Resend it, or phone the family.

A parent says they never got the welcome pack. What now?

Open the card and check the email address. Correct it, then press Resend welcome pack.

More in “Work the onboarding board”
Can I stop a family being onboarded for now?

Yes. Use Block onboarding on the card. Unblock it later from the edge list.

More in “Work the onboarding board”
Where do I change the wording of the welcome pack?

Open Welcome pack set-up & tools and choose Welcome pack wording. Only people allowed to change it can save.

More in “Work the onboarding board”
What is Fill consent gaps for?

It sends one parent a short form for the consents still missing on a record, without asking again for what is already held.

More in “Work the onboarding board”
Who can send a consent pack?

Managers and admins. The button is not shown to anyone else.

More in “Send a consent pack and see what has come back”
Does the family's answer count as consent straight away?

No. They answer it themselves, and nothing is recorded against the young person's consent until a member of staff confirms it.

More in “Send a consent pack and see what has come back”
Why is there no Send button on this record?

Packs may be switched off, or the primary parent or carer has no usable email. The screen says which, and what to do.

More in “Send a consent pack and see what has come back”
How many reminders does a family get?

One, seven days after sending. After that, ring them.

More in “Send a consent pack and see what has come back”
What does Needs attention mean?

The email did not go, or the pack expired. Correct the address or send it again. Chasing will not help.

More in “Send a consent pack and see what has come back”
Why do I only see some of the packs?

The page shows outstanding packs for records you can see, up to five hundred. Search filters that list.

More in “Send a consent pack and see what has come back”
Can everyone see everyone's phone number?

Everyone signed in can see colleagues' work numbers and work emails. Home addresses and personal numbers are not on this page.

More in “Find a colleague's work phone and email”
My number is wrong. How do I fix it?

Change it in your own profile. This page reads from there.

More in “Find a colleague's work phone and email”
Where are the young person's parents' details?

On the record, in the Contacts section of the Profile tab. This page lists staff only.

More in “Find a colleague's work phone and email”
Why is someone missing from the list?

They may not have been added to the staff list, or their name is blank. An admin can check the Staff page.

More in “Find a colleague's work phone and email”
Can I search by email?

Yes. The search looks at the name, job title, number and email together.

More in “Find a colleague's work phone and email”
What is a place for?

It decides the term dates a young person counts against, whose queue their work reaches, and which reports they appear in.

More in “Places, term dates and commissioners”
How do I give two places the same term dates?

Open the Term dates tab and give both places the same calendar. Set the dates once on that calendar.

More in “Places, term dates and commissioners”
Why can't I add a place?

Only managers and admins can. A mentor sees just the places they work in.

More in “Places, term dates and commissioners”
What does taking a place out of use do?

It hides the place from new choices. People already in it need a new place. The banner on the page counts them.

More in “Places, term dates and commissioners”
Where do commissioners fit?

On the Commissioners tab. Each is held once, and contracts tie them to places. Every placement records both.
