Contacts sit in the Profile tab of a record, under Contacts. A contact is anyone the team may need to reach about this young person.
Steps
- Open the record, choose the Profile tab and go to Contacts. The count shows how many are held.
- Press + Add contact. Choose the kind, type the name, and add a phone number or email if you have one.
- Tick Primary contact for the main parent or carer, and Emergency contact for anyone to ring in an emergency.
- Switch to People involved to see everyone grouped by who they are. Press Still correct once you have checked someone's details.
- Press Edit to change a contact. Use + Add a professional for a school, health or social care worker.
- To take someone off, press Remove and confirm Remove contact. They are hidden, not deleted.
- If you removed the wrong one, open Removed contacts and press Restore contact.
If it goes wrong
- If a save cannot be confirmed, the form stops and offers a reload. Reload and check the list before adding the contact again.
- A restored contact keeps its saved details. A processing restriction on it stays in place.
How it links together
Contacts feed consent packs, which go to the primary parent or carer, and the onboarding checklist, which looks for an emergency contact. Read the guides to consent and to consent packs.
- Add the contact
- Mark primary or emergency
- Consent pack sent
- Record consent
Everyone and People involved
Everyone is the full list with filters for parents and carers, school, health, social care and commissioner. A search box narrows it by name, role or organisation. Press Clear contact filters to start again.
People involved groups the same contacts by who they are and shows when each was last checked. Someone whose role was worked out from how it was first typed is marked, and Edit lets you set it for certain.
Phone numbers and emails are hidden at first
Each number and email is masked until you press Reveal. Only reveal what you need. Press Hide when you are done.
Primary and emergency
A primary contact is the person the team writes to first, and the one an emailed consent pack goes to. An emergency contact is someone to ring in an emergency. One person can be both.
Keep at least one emergency contact on every record. The onboarding checklist flags records that have none.
Checking that details are right
Still correct is for when you have confirmed with the person that their details are current. It records who checked and when. It does not change any detail.
Removing and restoring
Removing hides a contact from the record but keeps it in the database for the audit trail. The Removed contacts page lists them, fifty to a page, with the date each was removed.
A mentor, manager, DSL or admin can restore from that page, tick the box and press Restore contact. It is not offered while someone is viewing as another user.
