Send a consent pack and see what has come back

Email a family one pack that asks for the consents a record needs, then use the returns list to see who has not replied.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For managers and admins. A pack goes to a parent or carer, who answers it themselves. Nothing is recorded as consent until a member of staff confirms it.

Steps

  1. Open the record and go to the Consent section of the Profile tab.
  2. Press Send consent pack. The box names who it will be emailed to.
  3. Press Send the pack, or Not now to step back.
  4. Open Consent packs from Tasks. It lists every pack still out, longest wait first.
  5. Start with Needs attention. Those packs never reached the family or have expired, so fix the address or send again.
  6. Check Reminded and Waiting. A reminder goes once, after seven days. After that, phone the family.
  7. When the answers arrive, confirm them on the record.

If it goes wrong

  • If the button is replaced by a note about the email address, add a primary parent or carer contact with an address, then try again.
  • If the page says packs are Not switched on here, an admin turns them on in Settings once the wording is approved.
  • A red message in the box says why a send failed. Nothing is sent until you try again.

How it links together

Answers from a pack are confirmed by staff and then appear as consent on the record. They decide whether photos, trips and more may be used. The same list feeds the Tasks tile.

From pack to consentA pack is sent, answered and confirmed.
  1. Send the pack
  2. Family answers
  3. Staff confirm
  4. Chase if late

What a consent pack is

A pack asks a parent or carer for the consents the young person's record needs, in one form. This replaces sending several separate forms.

Sending from the record

Only managers and admins see the send button, because it emails a family. It goes to the primary parent or carer contact. If that contact has no usable email, the screen says so and tells you to add one on the Contacts section.

If a pack is already out, the button changes to say so. You can still send another, and a note tells you how long ago the last one went.

The three groups on the returns page

  • Needs attention: the email never left, or the pack expired without coming back. Do not chase the family about an email that never arrived.
  • Reminded: the one automatic reminder has gone. If this is old, ring the family.
  • Waiting: sent, still inside its time, nothing owed yet.

Searching and counting

Search by the child's name or the recipient. Use Search loaded packs and Clear search to start again. The page loads up to five hundred outstanding packs, and the search works inside what is loaded.

The numbers match the Tasks tile, because both read the same list. Each row links to the record.

When packs are switched off

Until an admin switches them on, the page says Not switched on here and nothing is sent or chased. It does not show an empty table that looks broken.

Questions people ask

Who can send a consent pack?

Managers and admins. The button is not shown to anyone else.

Does the family's answer count as consent straight away?

No. They answer it themselves, and nothing is recorded against the young person's consent until a member of staff confirms it.

Why is there no Send button on this record?

Packs may be switched off, or the primary parent or carer has no usable email. The screen says which, and what to do.

How many reminders does a family get?

One, seven days after sending. After that, ring them.

What does Needs attention mean?

The email did not go, or the pack expired. Correct the address or send it again. Chasing will not help.

Why do I only see some of the packs?

The page shows outstanding packs for records you can see, up to five hundred. Search filters that list.
