Questions people ask

What if the child is in danger right now?

Phone your DSL or call 999 first. Raise the concern as soon as you safely can afterwards.

More in “Raise a concern”
Who is told when I press Raise the concern?

The child's DSL is told. If they have none, it goes to your organisation's safeguarding queue.

More in “Raise a concern”
Can I change what I wrote?

You cannot rewrite the first account once confirmed. Add to it in the steps that follow, or tell your DSL.

More in “Raise a concern”
Which level should I choose?

Choose the level that matches the facts. If you are unsure, choose the higher one. The DSL can lower it.

More in “Raise a concern”
What if I closed the page by mistake?

Open the record, press Raise concern again and then Restore to bring back your words.

More in “Raise a concern”
Why does it ask for a follow-up date?

Levels 3 and 4 must be looked at again. The date makes sure someone does, but it never delays action now.

More in “Raise a concern”
What does Confirm my account do?

It locks your original account. Later information is added as an addition, never a rewrite.

More in “Raise a concern”
Can I raise a concern about an adult?

Yes, from the safeguarding page for someone else. Also tell your DSL directly and at once.

More in “Raise a concern”
Who can see a concern?

Only people whose role allows it. A DSL sees the whole organisation. Others see their own work and what is shared with them.

More in “How concerns and cases work”
What is the difference between a concern and a case?

A concern is the first report. A case joins related concerns and actions into one continuing record with an owner.

More in “How concerns and cases work”
Does opening a case show me the concerns inside it?

No. Linking a case never gives access to a concern you could not already read.

More in “How concerns and cases work”
Is closing the same as deleting?

No. Closing keeps the record and its history. Reopening adds the new reason and dates.

More in “How concerns and cases work”
What if the app is down?

Use your organisation's fallback and phone the DSL. Record the facts through the approved process as soon as you can.

More in “How concerns and cases work”
What do I do in an emergency?

Call 999 if a child is in immediate danger, then contact the DSL directly. Do not wait for the queue.

More in “How concerns and cases work”
Does a draft mean the DSL knows?

No. A local draft is not a report. The DSL is told only when the concern is raised.

More in “How concerns and cases work”
Who is told when a concern is raised?

The accountable DSL is told straight away, at every level.

More in “How concerns and cases work”
What should I look at first?

Overdue follow-ups, then the oldest or most serious. The overdue list is above the queue.

More in “Work the queue of concerns”
Why can't I open this page?

It is for DSLs and admins. The page says which role it needs.

More in “Work the queue of concerns”
What do the four numbers mean?

Open concerns, overdue follow-ups, concerns with nobody assigned, and level 3 or 4 concerns raised this month.

More in “Work the queue of concerns”
An empty queue: is nothing open?

Only that nothing is visible to you with these filters. Clear the filters before you decide.

More in “Work the queue of concerns”
Where do I start a continuing case?

From the Cases tab, press New case. Use it when related concerns need one owner.

More in “Work the queue of concerns”
What do I do if a child is in danger now?

Call 999 and contact the responsible DSL directly. Never wait for a queue item.

More in “Work the queue of concerns”
When should I start a case?

When related concerns or several actions about the same young person need one owner and one due date.

More in “Manage linked concern cases”
Can I close a case with open actions?

No. Complete or cancel each action first, and record why.

More in “Manage linked concern cases”
Does removing a concern from a case erase the link?

No. The history keeps the earlier link.

More in “Manage linked concern cases”
What if the page says someone else changed the record?

Read the current version first. Then make your change again if it is still needed.

More in “Manage linked concern cases”
Can I reopen a case?

Yes. Reopening keeps the earlier outcome and adds the new reason, owner and dates.

More in “Manage linked concern cases”
Who can see a case?

People whose role allows it. Access to a case does not widen access to its linked concerns.

More in “Manage linked concern cases”
What do I do first with a new concern?

Read the account, and if a child is in danger now, act at once. Then press I have read this — acknowledge. Opening the record does not count.

More in “Respond to a new concern”
Does acknowledging mean it is resolved?

No. It shows receipt only. Save a decision and add a follow-up for what happens next.

More in “Respond to a new concern”
What if the concern should belong to someone else?

Under Who is responsible, press Hand over…, choose who and say why. Do not leave it unowned.

More in “Respond to a new concern”
What does Reload the record mean?

Someone else changed the concern while you were typing. Nothing was overwritten and your words are still in the box.

More in “Respond to a new concern”
Will an earlier decision be lost if I save a new one?

No. Earlier decisions stay in the history.

More in “Respond to a new concern”
Should I tell the parents or carers?

Only where it will not put the child at greater risk. Record the answer under Parents or carers.

More in “Respond to a new concern”
Which tool do I use for an allegation about a member of staff?

Start a LADO referral. For something that does not reach that threshold, record a low-level concern.

More in “The lead's tools: what each one is for”
Why can't I open this page?

It is for DSLs, senior staff and admins. The page names the role it needs.

More in “The lead's tools: what each one is for”
What do the four numbers mean?

Open concerns, overdue follow-ups, concerns with nobody assigned, and level 3 or 4 concerns raised this month.

More in “The lead's tools: what each one is for”
Where do I see what I have sent outside?

At the bottom of the page, under external reports. It shows the last twenty.

More in “The lead's tools: what each one is for”
What do I do in an emergency?

Call 999 if a child is in immediate danger, then phone your DSL. Record it in the app afterwards.

More in “The lead's tools: what each one is for”
Are these records shared with other staff?

Only people whose roles allow it can open them. Each page checks the role.

More in “The lead's tools: what each one is for”
What if the child is in danger right now?

Call 999 first, then phone your DSL. Raise the concern afterwards, as soon as you safely can.

More in “Raise a concern from the hub or your phone”
Who gets told when I raise a concern?

The accountable DSL is told straight away. If you named a DSL, it is them. Otherwise the system chooses one.

More in “Raise a concern from the hub or your phone”
Can I raise a concern from my phone?

Yes. The short phone form asks only who, what level, what happened and, for levels 3 and 4, a follow-up date.

More in “Raise a concern from the hub or your phone”
Can I change a concern after I raise it?

You cannot rewrite the first account. Add to it from the young person's record, or tell your DSL what was missing.

More in “Raise a concern from the hub or your phone”
Why does it ask for a follow-up date?

Levels 3 and 4 must be looked at again. The date makes sure someone does. It does not mean you can wait to act.

More in “Raise a concern from the hub or your phone”
What if I picked the wrong young person?

Tell your DSL straight away. Do not raise a second concern for the same event without checking first.

More in “Raise a concern from the hub or your phone”
Can I raise a concern about a member of staff?

Yes. Use Someone else: staff, a visitor, and also tell your DSL directly. Allegations against adults need a person to act quickly.

More in “Raise a concern from the hub or your phone”
Is an accident the same as a concern?

No. An accident record is for injuries and slips. A concern is for worries about welfare or safety. Some events need both.

More in “Record an accident or incident”
Do I need to choose a young person?

Only if a child was involved. For a staff injury or a visitor, leave it empty.

More in “Record an accident or incident”
Why do I have to sign it?

The signature shows who stands behind the account. Type your own full name and tick the box.

More in “Record an accident or incident”
Can I edit it after I press Record incident?

No. Tell your manager what was missed so it can be added.

More in “Record an accident or incident”
Who can read what I record?

Your manager and the DSL can. Other staff see only what their role allows.

More in “Record an accident or incident”
What if I lose signal?

Your answers are kept on the device. Open the form again and restore them. Phone your manager if it is urgent.

More in “Record an accident or incident”
Why do I only see two checks?

Mentors see the first-aid kit and vehicle checks. Managers and DSLs see them all.

More in “Do the routine safety checks”
What does not started yet mean?

Nobody has recorded the first check at that venue. It is not overdue. Press Record the first one → to begin.

More in “Do the routine safety checks”
A check failed. What now?

Say so in your answer and tell your manager straight away. Keep the place safe until it is fixed.

More in “Do the routine safety checks”
Can I fix a check I filled in wrongly?

Not yourself. Tell your manager and record a corrected one.

More in “Do the routine safety checks”
Why is a venue missing?

Only managed venues have checks. A young person's home has none. Ask your manager if one should be listed.

More in “Do the routine safety checks”
How often is a check due?

Each check has its own interval. The page shows when it was last done and when it is due again.

More in “Do the routine safety checks”
Can I change the name of the form?

No. The name and type stay fixed so the concern still reaches the right queue.

More in “Make your own copy of the incident forms”
Does editing my copy change the default?

No. The default is shared and stays as it was. Only your copy changes.

More in “Make your own copy of the incident forms”
Why can't I open this page?

Your role cannot change these forms. The page says who can. Ask them to do it or to give you access.

More in “Make your own copy of the incident forms”
How do I go back to the starting wording?

The starting version is kept. Ask a DSL or admin whether to edit your copy back, or stop using it.

More in “Make your own copy of the incident forms”
Who sees the answers people give?

The same people who see the records the form creates. Changing the wording does not widen who can read them.

More in “Make your own copy of the incident forms”
Does the platform send the letter?

No. It saves a PDF and shows the referral as sent. You must download it and send it yourself.

More in “Send and track an outside referral”
Who can start a referral?

A DSL, manager or admin. Anyone else sees a message saying the role is needed.

More in “Send and track an outside referral”
What do the columns mean?

Draft is not yet saved. Sent is saved and sent by you. Acknowledged and Decision follow the body's replies. Closed is done.

More in “Send and track an outside referral”
What if the body does not reply?

The card shows when a reply was due and turns red when it is late. Chase them and note it on the referral.

More in “Send and track an outside referral”
Can I undo a referral?

You cannot unsend a letter. Add a note on the referral and tell the DSL. Close it if it was raised in error.

More in “Send and track an outside referral”
Is a referral the same as a concern?

No. A concern is internal. A referral goes to an outside body, usually after a concern has been looked at.

More in “Send and track an outside referral”
Why can't I save my changes?

Your role can view the letters but not change them. Ask a DSL or admin for the change.

More in “Change the wording of referral letters”
Does changing a template change letters already saved?

No. Saved letters keep the wording they had. A new wording applies to new letters.

More in “Change the wording of referral letters”
What is a placeholder?

A word in braces that the system replaces, such as a name or date. Keep them spelled exactly as listed.

More in “Change the wording of referral letters”
Are the names in the preview real?

No. The preview uses invented names and answers.

More in “Change the wording of referral letters”
What does Create organisation copy do?

It makes your own version of a shared letter. You then edit your version and the shared one is left alone.

More in “Change the wording of referral letters”
Who can record a suspension?

DSLs, managers, admins and senior staff. Others are told a role is needed.

More in “Record a school suspension or exclusion”
Does it tell the DSL?

It records it where the DSL can read it. If you are worried about the child, also raise a concern or phone them.

More in “Record a school suspension or exclusion”
Can I filter the register?

Yes. Pick a Record kind and press Apply filter. Clear filter brings back everything.

More in “Record a school suspension or exclusion”
Why is a name missing?

The name shows as unavailable when you cannot read that child's record.

More in “Record a school suspension or exclusion”
What is a managed move?

An agreed move of a child to another school, usually to avoid a permanent exclusion.

More in “Record a school suspension or exclusion”
Can I edit one after I record it?

Not from the form. Tell your DSL, record a corrected entry and say why.

More in “Record a school suspension or exclusion”
What is an anonymous report?

A worry sent through the public form without signing in. It waits for a person to decide what to do.

More in “Deal with anonymous reports”
Who can see them?

DSLs, managers and admins. Other staff cannot.

More in “Deal with anonymous reports”
What does promote do?

It turns the report into a normal concern in the queue. You choose the young person, level and follow-up.

More in “Deal with anonymous reports”
Can I undo a dismissal?

The decision stays in the history. Tell your DSL if you think it was wrong, and raise a concern if needed.

More in “Deal with anonymous reports”
What if the sender gave a contact?

The contact is shown on the row. Use it only as your procedure allows.

More in “Deal with anonymous reports”
How do I see old decisions?

Press Recent to see reports already promoted, dismissed or marked as spam.

More in “Deal with anonymous reports”
Does saving a draft tell the LADO?

No. Nothing leaves the platform. Phone or send it to the LADO yourself, then press Mark submitted.

More in “Make a LADO referral”
Who should I call?

The page shows who to call for your organisation. If it says none is set up, ask an admin to add one.

More in “Make a LADO referral”
Can I refer someone who is not our employee?

Yes. Choose a relationship such as volunteer, contractor, agency worker or external adult.

More in “Make a LADO referral”
What is the CAD number?

The reference the council gives once the LADO accepts the referral. Enter it and save.

More in “Make a LADO referral”
Do I tell the adult?

Only as your procedure and the LADO advise. Do not warn them before you have taken advice.

More in “Make a LADO referral”
What if I started it by mistake?

Press Withdraw. The record stays in the history so nothing is lost.

More in “Make a LADO referral”
What is the difference from a LADO referral?

A low-level concern is below the allegation threshold. A LADO referral is for an allegation that may meet it.

More in “Record a low-level concern about an adult”
Can I turn a low-level concern into a LADO referral?

Yes. Press Escalate to LADO on its row.

More in “Record a low-level concern about an adult”
Who can see these?

DSLs, senior staff and admins. They are not shown to other staff.

More in “Record a low-level concern about an adult”
Do I tell the adult?

Follow your procedure. Many organisations talk to the adult about low-level concerns, but not when a child may be at risk.

More in “Record a low-level concern about an adult”
Why must I give a closing reason?

So anyone reading later can see why it was closed. The reason is part of the record.

More in “Record a low-level concern about an adult”
What if I am not sure which to use?

Phone your DSL or the LADO and ask. When in doubt, take advice before closing.

More in “Record a low-level concern about an adult”

More in “Make a modern slavery referral”
Who can open this?

DSLs, senior staff and admins. A data protection role can read a referral too.

More in “Make a modern slavery referral”
What if the child is in danger now?

Call 999 and phone your DSL. Do the referral afterwards.

More in “Make a modern slavery referral”
Can I link it to a concern?

The page says to deliver within five working days. Each row shows its due date.

More in “Hand over a child protection file”
What counts as a receipt?

A signed receipt, an email confirmation or a phone confirmation. Pick the one you have.

More in “Hand over a child protection file”
The file is lost. What now?

Mark it as an issue, tell your DSL and follow your data breach procedure. The queue lists issues so they are chased.

More in “Hand over a child protection file”

Yes, while it is open. Give a reason and it is added to the notes.

More in “Hand over a child protection file”
Who can open this page?

DSLs, senior staff and admins.

More in “Hand over a child protection file”
Can I start one without a postal address?

Yes, the address is optional. Add the receiving organisation's name at least.

What happens when a marker expires?

It leaves the active list. If it needed action, promote it to a concern before it does.

More in “Record a short-lived warning signal”

A concern is a formal, lasting record. A marker is a short signal that fades unless you promote it.

More in “Record a short-lived warning signal”
