Do the routine safety checks

Tick through a venue check, sign it off, and see which checks are overdue.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For anyone who looks after a venue. Managers and DSLs also see which checks are overdue. If something is unsafe now, stop using it and tell your manager.

Steps

  1. Open Routine checks.
  2. Read What needs ticking today?. Overdue checks come first.
  3. Press Tick now → on a check, or Record the first one → if it has never been done.
  4. Choose the venue under Location.
  5. Answer every question honestly. Say if something fails.
  6. Type your full name and tick the confirmation to sign.
  7. Press Record check. You will see Check recorded.
  8. Press Record another for the next venue.

If it goes wrong

  • Not started yet is not the same as overdue. It means nobody has recorded the first check.
  • If a venue is missing from the list, tell a manager. Only managed venues have checks.
  • If the page says the venues could not be loaded, reload before filling anything in.
  • If an item fails, say so in the answer and tell your manager. Do not tick it to clear the list.

How it links together

A recorded check updates the venue's up-to-date status, which managers and DSLs see on the overdue lists. Venue tasks link here for one venue. See the guide on managing venues for the venue side.

From check to overdue listEach signed check resets the clock for that venue.

What you will see

Mentors see only the first-aid kit and vehicle checklists. Managers, DSLs, admins and senior staff see every checklist and the overdue lists.

Reading the statuses

  • Overdue means it was done before and has lapsed. It says since when.
  • Not started yet means nobody has recorded the first one at that venue.
  • Up to date means it is not due yet.

Thirty red lines for checks nobody has started taught people to ignore the word. That is why not started is shown differently.

Narrowing to one venue

A link from a venue task opens this page for one venue. Press Show every venue to widen it again.

Signing off

The signature says you did the check yourself. Do not sign for someone else, or sign a check you did not do.

After you record it

The check is stored and the venue shows as up to date until the next one is due. A manager can see who did it and when.

If you notice a hazard while checking, act on it. Do not wait for the next check.

Questions people ask

Why do I only see two checks?

Mentors see the first-aid kit and vehicle checks. Managers and DSLs see them all.

What does not started yet mean?

Nobody has recorded the first check at that venue. It is not overdue. Press Record the first one → to begin.

A check failed. What now?

Say so in your answer and tell your manager straight away. Keep the place safe until it is fixed.

Can I fix a check I filled in wrongly?

Not yourself. Tell your manager and record a corrected one.

Why is a venue missing?

Only managed venues have checks. A young person's home has none. Ask your manager if one should be listed.

How often is a check due?

Each check has its own interval. The page shows when it was last done and when it is due again.
