Venue pages hold the practical information needed to arrive safely, book the right room and understand capacity. Everyone with venue access can read them. Managers and admins maintain the records.
Steps
- Use Find a venue to search by name, postcode or area. The area filters narrow the same list.
- Open a venue. Use the section links below its header to jump to the information you need.
- Check arrival details before a first visit. The address, access instructions, contacts and entrance photos should be current.
- Use Book a room for a session. Availability shows free, partly booked, full and closed days.
- Use Rooms & hours to change rooms, capacity and opening windows. Existing bookings are checked first.
- Use Closed days for temporary closures. If sessions clash, inspect, move or return them before confirming.
If it goes wrong
- A load warning is not an empty result. Reload before changing capacity, rooms or availability.
- After an uncertain save, reload and check the record before repeating it.
- A closure does not cancel existing sessions. The clash list shows what still needs action.
- Unsaved details in Add venue are protected by a discard warning.
Create, archive and restore
- A manager or an admin can add a venue. Add its area, postcode and arrival details before it is used.
- Archive a venue when it should no longer accept new bookings. Existing history is retained.
- Use Archived on the overview to restore its rooms, contacts, hours and photos.
- All places is the wider catalogue of places recorded against sessions. Maintain a managed venue from Venues.
Roles and access
- Signed-in staff with venue access can read managed venues, arrival details, safety information and availability.
- Managers and admins create, edit, archive and restore venues, rooms and closures.
- DSLs can inspect venue check-ins but do not receive general venue administration rights from that role alone.
- Venue information is limited to the signed-in organisation. Write permissions are checked again on the server.
Capacity and availability
The overview counts places from active room capacities and opening windows. A venue with no active rooms cannot be booked. Closed days remove availability without changing the weekly schedule.
Least used is a management view based on recent planned sessions. Compare nearby demand, safety, access and running cost before acting.
