Questions people ask
Why can't I see the Reporting page?
The Reporting section is switched on for managers and DSLs by default. Ask an admin to switch it on for you.
More in “Read the reporting dashboard”Why is my total different from a colleague's?
Each person only counts the young people they can see. Two people with different access will see different totals.
More in “Read the reporting dashboard”What does 'attendance' mean here?
It is the share of planned sessions that were delivered over a rolling six weeks. Press the tile to see each young person and their delivered and missed counts.
More in “Read the reporting dashboard”How do I get a PDF of a report?
Open the young person's record and use the Reports tab. The PDF button on the dashboard is switched off because it needs one report.
More in “Read the reporting dashboard”Can I download the whole dashboard?
Use Export CSV for the cohort attendance figures. For your own selection of fields, use the Builder tab and download the CSV from there.
More in “Read the reporting dashboard”What is the commissioner report pack?
It is a PDF pack for one commissioner. Managers and admins pick the commissioner and press the Pack button.
More in “Read the reporting dashboard”Why can't I open the report builder?
It needs the manager or admin role. Ask an admin if you think you should have it.
More in “Build and save your own report”Why does the preview stop at 200 rows?
The preview is kept short so the page stays fast. Press Download CSV to get every matching row.
More in “Build and save your own report”Can I change a report after saving it?
Yes. Open it from Saved reports, change it and press Update. The same link keeps working.
More in “Build and save your own report”How do I send a report to a colleague every week?
Choose Weekly under Schedule and add their user ID to the recipients. The CSV is emailed on Mondays.
More in “Build and save your own report”Where do I find the user ID for a recipient?
The box asks for IDs separated by commas, not names. Ask your admin for the ID of each person.
More in “Build and save your own report”Do I need to know how the data fits together?
No. Pick the fields you want from any source and the builder joins them for you.
More in “Build and save your own report”How do I edit a saved report?
Press its name. It opens in the builder with everything filled in. Make your changes and press Update.
More in “Find, pin, schedule and delete saved reports”How do I stop a scheduled email?
Open the report, set Schedule to Off and press Update. No more emails are sent.
More in “Find, pin, schedule and delete saved reports”Can I get a deleted report back?
No. A delete cannot be undone, so rebuild it in the builder if you removed one by mistake.
More in “Find, pin, schedule and delete saved reports”Why doesn't my report show on the dashboard?
It only shows there when it is pinned. Open it, tick the pin box and press Update.
More in “Find, pin, schedule and delete saved reports”Why is a colleague's report missing from my list?
You see the reports your access allows. Ask the person who made it, or an admin, if you need it.
More in “Find, pin, schedule and delete saved reports”What happens to a funder tile if I delete its report?
The tile has nothing to show and says the saved report is missing. Remove the tile or choose another report.
More in “Find, pin, schedule and delete saved reports”What is the difference between Completed and Signed off?
Completed means the team has finished writing. Signed off means a manager has approved it and it is ready to send.
More in “Follow half-term reports and sign them off”Does signing off send the report?
No. After you sign off, you go to a check page where you see who it would reach. Nothing is emailed until you press Send there.
More in “Follow half-term reports and sign them off”Can I undo a sign-off?
Yes, with Reopen to edit. The report goes back to waiting for sign-off, unless it has already been emailed.
More in “Follow half-term reports and sign them off”Why is a young person in Not started?
They had a delivered session this half-term but no report has been written. Open the round page if they should not have one.
More in “Follow half-term reports and sign them off”Who sees my Send back note?
The people writing the report. It names the parts that need work and what you want done.
More in “Follow half-term reports and sign them off”How do I stop chasing someone who left?
Use the Nobody writing them filter to find reports with no writer. Open each one and make sure someone is named.
More in “Follow half-term reports and sign them off”Can I untick someone after I have released the round?
Yes. Untick them and they no longer need a report. If a draft exists you can delete it from the same row.
More in “Prepare and release a half-term round”Why is a young person missing from the list?
They only appear once they have sessions planned in the half-term. Plan the sessions and refresh.
More in “Prepare and release a half-term round”Who writes a summary?
Anyone scheduled to lead or co-deliver three or more sessions with the young person that half-term. You can add or remove people.
More in “Prepare and release a half-term round”When do the team see their reports?
After you release, from a set number of days before the deadline. The number is in Report settings.
More in “Prepare and release a half-term round”Can I undo a release?
There is no undo button. You can still untick people and change who writes a summary, so most mistakes can be put right.
More in “Prepare and release a half-term round”What does deleting a draft do?
It permanently removes everything written in that draft. It never deletes a report that has gone for sign-off.
More in “Prepare and release a half-term round”Where do I change the report deadline?
Open Half-term reports, then Report settings. Under When reports are due pick a date for the half-term and save.
More in “Set deadlines, sections and wording for half-term reports”What happens if I change a deadline that has already passed?
Late prompts and emails follow the deadline you set, so check the new date before you save.
More in “Set deadlines, sections and wording for half-term reports”Can I switch a section off?
Yes, except the first one. A report that already has words in a section you switch off still shows them.
More in “Set deadlines, sections and wording for half-term reports”Do my changes affect other organisations?
No. The settings are for your organisation only.
More in “Set deadlines, sections and wording for half-term reports”How do I get the original wording back?
Use Back to the default in the Wording part, or Back to the standard in the Sections part.
More in “Set deadlines, sections and wording for half-term reports”Who gets the late reports email?
Only the people listed on the Late reports email card. If nobody is listed, nobody is emailed.
More in “Set deadlines, sections and wording for half-term reports”Why isn't a signed-off report in the list?
Check the half-term at the top. Choose the right one and press Show. A report only appears once it has been signed off.
More in “Check and send signed-off reports”Can I send to parents before the referrer?
Yes. The parent page says the referrer has not been sent to yet. The report stays in the referrer list until that is done too.
More in “Check and send signed-off reports”What happens if I press Send twice?
The check page shows what has already been sent and warns you. Sending again reaches the same or new addresses, so nothing is blocked.
More in “Check and send signed-off reports”Where is the copy that was sent?
The check page lists earlier sends with a link to the copy that was sent.
More in “Check and send signed-off reports”Who is copied in?
The card called Also copied shows it. It is set in your organisation's report routing settings.
More in “Check and send signed-off reports”How do I see the PDF before it goes?
Press Preview the report before sending on the check page. It shows the report as it will be attached.
More in “Check and send signed-off reports”Why can't I edit the Theory of Change?
It needs the manager or admin role, in your own view. If you are viewing as someone else, switch back first.
More in “Build your Theory of Change”How do I connect two nodes?
Press from on the first node, then link on the second. An arrow is drawn between them.
More in “Build your Theory of Change”What does the metric button do?
It ties the node to a saved report so the node shows where its evidence comes from.
More in “Build your Theory of Change”Can I get a deleted node back?
No. Deleting a node removes its arrows too, so add it again if you removed the wrong one.
More in “Build your Theory of Change”Where do the saved reports come from?
From the report builder. Build and save a report there, then it appears in the metric list.
More in “Build your Theory of Change”Why can't I open the map?
It is only open to admins. Ask yours if you need a view of it.
More in “Use the locations map”Why isn't a young person on the map?
They have no postcode, or the postcode could not be placed. Use the missing postcodes window to add or fix it.
More in “Use the locations map”Does the pin show the exact home?
No. It sits at the middle of the postcode.
More in “Use the locations map”Why is a mentor not shown when I choose an area?
No area is recorded for them and they have not worked with a young person there in twelve weeks. Choose all area choices, or set the area on their record.
More in “Use the locations map”What do the red pins mean?
They are young people with the flags you chose, such as no recent session or low attendance.
More in “Use the locations map”How do I share what I am looking at?
Copy the web address. It keeps your layers, area and flags.
More in “Use the locations map”Why can't I see Funder dashboards?
The section is on by default for managers. Ask an admin to switch it on for you. You also need the manager, admin or DSL role.
More in “Make a funder dashboard”How many tiles can a dashboard have?
There is no limit when you build one, but a public page shows only the first twelve and says so.
More in “Make a funder dashboard”Can I change the name later?
Yes. Open the dashboard, change the name at the top, and press Save.
More in “Make a funder dashboard”What is the difference between KPI and Chart?
KPI shows a single figure. Chart shows a breakdown, up to a set number of groups.
More in “Make a funder dashboard”Does the dashboard show names?
Not on a public page. Any report that groups by something identifying is withheld there.
More in “Make a funder dashboard”How do I delete a dashboard?
The editor has no delete button. Ask your admin or the support team if you need one removed.
More in “Make a funder dashboard”Who can open the public link?
Anyone who has the address, until you revoke it. It needs no sign-in.
More in “View a funder dashboard and share it safely”Can a funder see a child's name?
No. The public view only shows counts, and hides groups of fewer than five.
More in “View a funder dashboard and share it safely”How do I stop a funder seeing it?
Open the editor and press Revoke token. The link stops working straight away.
More in “View a funder dashboard and share it safely”Why does the public view show fewer groups than mine?
Small groups are left out to protect children. A note under the tile says how many.
More in “View a funder dashboard and share it safely”Is the internal view the same as what the funder sees?
No. The internal view shows everything you can see. The public one is stricter.
More in “View a funder dashboard and share it safely”Can I get the same link back after revoking?
No. Generating again makes a new link, and the old one stays off.
More in “View a funder dashboard and share it safely”Why can't I open the Compliance page?
It is for managers, admins and the data-protection lead. Ask one of them, or ask your admin about your role.
More in “Use the compliance hub”Why is a card dimmed?
Your role cannot use it. The card names who can, so you know who to ask.
More in “Use the compliance hub”How do I make the audit pack?
Press Safeguarding audit pack, choose the first and last day, and press Download the pack.
More in “Use the compliance hub”Is making the pack recorded?
Yes. It is written to the audit log, so there is a trail of who made it.
More in “Use the compliance hub”Does the manager register contain notes?
No. It excludes notes and safeguarding detail, and covers one area or commissioner at a time.
More in “Use the compliance hub”How long does a tenant export last?
It is kept for seven days and then deleted. It is a backup of your whole organisation.
More in “Use the compliance hub”Why don't I see the Record quality pages?
They need the manager or admin role. Anyone else is sent to Home.
More in “Check record quality and fix the gaps”What does 'No current readable' mean?
There is no current plan you can read for that young person. Either none exists or it is out of your access.
More in “Check record quality and fix the gaps”Does a current plan mean it is good?
No. The page only shows that one exists. It does not judge whether it is complete or approved.
More in “Check record quality and fix the gaps”How do I fix a missing ILP?
Open the ILP coverage check, press the young person's name and add the plan in the ILP drawer.
More in “Check record quality and fix the gaps”Why are the counts different on each page?
Each count describes the page you are on, not the whole list.
More in “Check record quality and fix the gaps”Are ended records included?
Yes. Active, paused and ended records are all included. Archived ones are not.
