Steps
- Open the Locations map. Three coloured layers show young people, Venues and mentor homes, each with a count.
- Press a layer to switch it on or off. Use the area menu to show one area or several.
- Open Needs attention to colour the pins of young people with no recent session, nothing planned, or low attendance.
- Pick one or more people from the mentor or young person menus. Their maps are laid together.
- Press Measure distance, then click pins in turn to add up the distance between them.
- Press Add missing postcodes, type a postcode beside each person, then press Save postcodes.
If it goes wrong
- If someone is missing from the map, they have no postcode the map can place. Add one with the missing postcodes window.
- If a postcode is saved but still not placed, it shows in the window again marked as not found. Check it for a typing mistake.
- If a venue is missing, fix its postcode on the venue's own page. The window does not cover venues.
What the pins mean
A pin sits at the middle of a postcode, not at an exact address. Green pins are young people, purple pins are venues and amber pins are mentor homes. A venue's pin grows with the number of sessions planned there over the last twelve weeks or ahead. Only plans are counted, because a write-up does not record a venue.
Which area a mentor counts in
A mentor counts as being in an area if they are assigned to it. They also count if they have worked with a young person there in the last twelve weeks. If you choose an area, the small print under the map says how many were left out because no area is recorded for them.
Needs attention
- No recent session: nothing delivered in the last six weeks.
- Nothing planned: no session planned from today onwards.
- Attendance under your organisation's red line: attended less than that share of sessions in the last six weeks.
A flag colours a pin and nothing more. A young person may have just finished, or been ill. The words say what was counted rather than judging.
Sharing a view
The layers, area and flags are kept in the web address. Narrow the map down, copy the address, and a colleague who is allowed to see it opens the same view.
Nearest and measure
When you pick a young person, the map lists the nearest mentors. In measuring mode, click pins one after another and the distance is added up along the route.
Missing postcodes
The window lists every young person and member of staff who is off the map for want of a usable postcode. Type postcodes beside anyone, leave others blank, and save. Fix any that are marked and save again.
How it links together
- RecordsPostcodes on people and venues
- LocatePostcode to place
- MapLayers and filters
- ActionOpen a record or fix a postcode
Child and staff postcodes come from their records, and venue postcodes from the venue page. Flags use planned and delivered sessions and attendance from write-ups. Fixing a postcode in the missing postcodes window updates the record itself, so other screens see it too. Nobody is notified.
