Find, pin, schedule and delete saved reports

See every saved report, open one to change it, and understand what Pinned and the schedule badges mean.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

This page is for managers and admins, like the builder it belongs to.

Steps

  1. Open Reporting, then the Saved reports tab. The list is titled My saved reports.
  2. Read each row. A Pinned badge means it shows on the reporting dashboard. A green badge says weekly or monthly.
  3. Press a report's name to open it in the builder, with its fields and filters already filled in.
  4. Change it there, then save with the Update button. To pin or schedule it, use the same save panel.
  5. Press New report to start a fresh one.
  6. To remove a report you no longer need, press Delete on its row and confirm.

If it goes wrong

  • If the page says saved reports could not be loaded, press Reload saved reports. If it keeps failing, ask an admin.
  • A delete cannot be undone. If you are unsure, open the report first and check what it holds.
  • If the delete says it could not be confirmed, reload the list before you try again. It may already have worked.

What each row shows

Each row has the report name and a short description if you wrote one. It also shows when the report was last updated, and how many people receive it if it is scheduled. Newest changes come first.

Pinned reports

A pinned report appears on the reporting dashboard under Saved by your team, so everyone who can open the dashboard sees it. Pin or unpin from the save panel in the builder.

Scheduled reports

A weekly report goes out on Mondays at 07:00 UTC. A monthly one goes out on the 1st at 07:00 UTC. Each goes to the people you listed when you saved it, as a CSV with a short summary.

Pages of results

The list shows 50 reports at a time. Use First page, Previous and Next at the bottom to move through them. The line above them tells you which rows you are looking at.

Funder dashboards and the Theory of Change

A saved report can also become a tile on a funder dashboard, or be linked to a Theory of Change node. Deleting it removes it from those places too, so check first.

How it links together

Where a saved report goesA saved report is the building block for several other screens.
  1. BuiltIn the builder
  2. SavedThis list
  3. PinnedShown on the dashboard
  4. TileOn a funder dashboard

Reports come from the builder and live here. Pinning one puts it on the reporting dashboard for everyone who can open it. A schedule emails it to the people listed. Funder dashboard tiles and Theory of Change nodes point at saved reports, so deleting one leaves those places with a missing report. Check them first.

Questions people ask

How do I edit a saved report?

Press its name. It opens in the builder with everything filled in. Make your changes and press Update.

How do I stop a scheduled email?

Open the report, set Schedule to Off and press Update. No more emails are sent.

Can I get a deleted report back?

No. A delete cannot be undone, so rebuild it in the builder if you removed one by mistake.

Why doesn't my report show on the dashboard?

It only shows there when it is pinned. Open it, tick the pin box and press Update.

Why is a colleague's report missing from my list?

You see the reports your access allows. Ask the person who made it, or an admin, if you need it.

What happens to a funder tile if I delete its report?

The tile has nothing to show and says the saved report is missing. Remove the tile or choose another report.
