Deal with anonymous reports

Read reports sent through the public form, turn real ones into concerns, and close the rest with a reason.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For DSLs, managers and admins. If a report says a child is in danger now, phone the police and your DSL first.

Steps

  1. Open the hub's Manage menu and choose Anonymous reports.
  2. Read the Pending list, newest first. Each row says who it is about and how to contact the sender, if given.
  3. Decide whether it is real, a mistake or spam.
  4. For a real one, press Promote to concern.
  5. Pick the young person, the level and, for level 3 or 4, a follow-up date.
  6. Check the nature of the concern, then press Confirm and create concern.
  7. Otherwise press Dismiss or Mark spam and write a reason.
  8. Check Recent to see what has been decided.

If it goes wrong

  • Promoting needs a young person from the list. If you cannot tell who, ask your DSL.
  • Level 3 and 4 need a follow-up date. Pick one or choose level 1 or 2.
  • If you dismissed one by mistake, tell the DSL. The decision stays in the history.
  • If you cannot open the page, it says which roles can. Ask one of them.

How it links together

A promoted report becomes an ordinary concern and the normal route applies: the DSL is told and it appears in the queue. Dismissals and spam decisions are kept in the history with your notes. Only DSLs, managers and admins see the board.

Where these come from

The public form lets a parent, carer or other person report a worry without signing in. Each submission waits in the pending list until someone decides.

Three decisions

  • Promote creates a real concern and puts it in the safeguarding queue.
  • Dismiss closes it when there is nothing to follow up.
  • Mark spam closes it as not genuine.

Dismiss and spam ask for notes. These go into the history, so write why.

Promoting well

The nature you write becomes the start of the concern. Make it factual. Leave out anything you are not sure of.

You may name an accountable DSL. If you leave it empty, the system picks one in the usual way.

Do not leave them waiting

A pending report has not been looked at. The hub shows how many wait. Check this page often.

Contacting the sender

If a contact was given, use it only as your procedure allows. Do not promise the sender a result.
