For managers and admins. A DSL can read the board. Every card says what happens next and who is waiting.
Steps
- Open Onboarding. Switch between List and Board. The numbers at the top show what needs you, such as Needs your review.
- Work a submitted referral first. Press its card, read it and accept or decline it.
- In Welcome pack not sent, open the card and press Send welcome pack. Add the parent's name and email if asked.
- In Questionnaires sent, wait. After seven days a card is marked stale, so resend with Resend welcome pack.
- When the parent has submitted, the card moves to Needs your sign-off. Open it, read the answers and press Sign off.
- Cards in Checklist gaps have missing answers. Chase them, or send back with Send back to parent.
- Check the card reaches Onboarded.
If it goes wrong
- If the parent's email is missing or wrong, the box asks for it before it sends. Nothing is sent until it is right.
- To pause a family, use Block onboarding. It moves to the edge list and can be unblocked later.
- For a family onboarded before the system existed, use Mark as onboarded and give a reason.
How it links together
Signing a family off completes the checklist that consents and contacts feed. After that the record is ready for goals, risks and sessions. Referrals begin in the guide to sending a form.
- Referral
- Welcome pack
- Parent replies
- Signed off
Two boards in one
The inbound board follows a referral: Awaiting referrer, In progress, Submitted and Closed. Your organisation's own review stages appear within Submitted. Once you accept, the draft record moves to the second board.
The second board follows the family: Welcome pack not sent, Questionnaires sent, Needs your sign-off, Checklist gaps and Onboarded. The Onboarded column shows recent completions only.
List or Board
The List groups people by stage in one table and remembers your choice. The Board shows columns you can fold away. Search and quick filters sit above both, and you can select several cards to act together.
The tools you use now and then
Open Welcome pack set-up & tools to reach three things. Fill consent gaps sends a parent a short form for only what is missing. Welcome PDFs are the packs each area sends. Welcome pack wording is the text the packs carry.
Stale, blocked and archived
- Stale packs are those sent over seven days ago with no answer.
- Blocked means onboarding is paused pending a review. Unblock returns it to the board.
- Archived moves a family out of the active list without deleting anything.
- A family that withdrew before finishing is kept with a note. To restart, send a fresh referral.
Under the boards
Two tabs sit below: Recent invitations, and Archive and never completed. Use them to see what was sent lately and to find families who dropped out.
A first day with no cards
When nothing is on the board, a short guide offers three ways in. One is a referral from a school or partner. One is a family already known to you. One is a young person who is missing consent or details.
