Watch the first part: your week.
For anyone who plans or records sessions. Mentors see their own. Managers see the whole organisation.
Steps
- Open Planner in the left-hand menu. It opens on this week.
- Choose Day, Week, Month or All at the top to change how much you see.
- Use the arrows to move on or back. Today, Tomorrow, This week and This month jump you straight there.
- In Day, Month and All, narrow the list with Everything, Planned, Needs prep, Completed or Cancelled.
- Pick one young person from the drop-down beside those buttons to see only their sessions.
- Tick Show cancelled to see cancelled ones. Press Clear filters to put everything back.
- Click a session to open it.
If it goes wrong
- Nothing showing? Check the date in the heading, then the filters. In All, press Jump to today.
- A session you expect is missing? It may be cancelled. Tick Show cancelled.
- Days look missing? Untick Hide empty days.
- Still cannot find it? Ask your manager. They can see everyone's planner.
What each view shows
- Day lists every session on one date, with the buttons for each one.
- Week lays the days out side by side. A manager sees a board of the whole organisation.
- Month is a calendar. Click a day to open it in the day view.
- All lists every session in date order. Earlier and later days are folded away until you open them.
Moving through the dates
The arrows step one day, week or month. The heading always names the period, such as the week you are looking at. In the day view, Today is marked next to the date when you are on it.
Filters
The status buttons and the young person drop-down work in Day, Month and All. The week view has no status buttons for your own planner.
A manager looking at the whole organisation's week gets a bar of filters instead. It has a search box and choices for the person delivering, the young person and the area.
Empty and cancelled days
Hide empty days leaves out days with nothing booked. In the day view it reads Skip empty days and the arrows jump to the next day with a session. Cancelled sessions stay hidden until you tick Show cancelled. A small number beside the tick box tells you how many are hidden.
The count under the heading
The line under the heading counts upcoming sessions in what you are looking at. When some are already in the past, a second figure shows the total.
How it links together
The Planner reads the same sessions that Scheduling books and that Home shows on your day. Filtering here changes only what you see, never the records. What you open from a row leads into the plan, the attendance answer and the write-up, which feed the countersign queue and the reports. Read the guide to reading a session in the Planner for the labels, and the guide to other people's Planners for the whole-organisation view.
