Read a session in the Planner

What the pop-up, its label and its buttons tell you, and whose turn it is next.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

Watch the second part: reading a session.

Click any session in the Planner and a pop-up opens. The coloured label in its top corner says where the session has got to. The buttons at the bottom change to match.

The label in the corner

  • Scheduled: it is booked, but nobody has finished planning it.
  • Planned ✓: the plan is finished. Recording opens on the day.
  • Draft: a write-up has been started and saved, but not sent.
  • Sent back to you: a manager returned the write-up with changes to make.
  • Awaiting manager: the write-up has been sent and is waiting to be countersigned.
  • Signed off: it has been countersigned. Nothing is left to do.
  • Completed and Cancelled: it is finished, or it was taken off the schedule.

The buttons at the bottom

  • Plan now starts planning. Resume planning carries on from a saved draft plan.
  • Edit plan changes a finished plan. After a manager sends a plan back it reads Make the changes.
  • Record session starts the write-up. It becomes Resume session, Continue session or Make requested changes as the write-up moves on.
  • View session opens the sent write-up to read.
  • Delivered and Not delivered answer the question of whether it happened.
  • Open day view takes you to that day's list. Close closes the pop-up.

If it goes wrong

  • A button you expect is missing? Read the label first. The button you need depends on the stage.
  • Record session is missing? Check that the plan is finished and that you are the mentor recording it.
  • Nothing to press at all? You may be looking at someone else's planner, or only watching.

Plan badges beside the label

A plan has its own check, separate from the write-up. Plan awaiting manager means a manager has not yet signed the plan off, and you can still change it. Plan signed off means they have. Plan sent back means they asked for changes.

A small amber tag appears when a plan has no learning plan goal linked. Managers often send those back, so open the plan and tick the goals it works towards.

What the answer to Delivered means

Delivered and Not delivered only appear on the day, or after it, for the mentor who is recording. They do not appear on a future session. See the attendance guide for what each one does.

A locked plan

Once recording has started, the plan is locked so that nobody changes it underneath the write-up. Open the session to amend details there instead.

Who is delivering

The pop-up lists everyone on the session. A colleague who only helps or watches can read it but cannot plan or record. A ghost marker on a card means you are shadowing and can only look.

Cancel this session

Only managers and admins see Cancel this session. Everyone else sees a short hint instead. Cancelling frees any room and keeps the record.

What the label in the corner is telling youThe label follows the session from booking to signature. A returned write-up goes back to the writer.
  1. ScheduledBooked, not yet planned
  2. Planned ✓Plan finished
  3. DraftWrite-up started
  4. Awaiting managerSent for countersign
  5. Signed offDone

How it links together

The label is worked out from three records: the plan, the attendance answer and the write-up. Changing any of them changes the label here, on Home, on the phone check-in and on the tablet app. Managers see the same stage in their countersign queue. Neighbouring guides are the planning guide, the guide to statuses and the write-up guide.

Questions people ask

Why does my session still say Scheduled after I saved the plan?

You probably pressed Save as draft. A draft keeps your work but does not mark the plan finished. Open it again and press Save plan.

What is the difference between Draft and Scheduled?

Scheduled is about the plan. Draft is about the write-up. A draft write-up has been started but not yet sent.

Why can't I press Record session?

The plan must be finished first, and you must be the mentor recording. Check the label in the corner and read the note in the pop-up.

What does Sent back to you mean?

A manager read your write-up and asked for changes. Press Make requested changes, fix what they asked for, and send it again.

Who can cancel a session?

Only managers and admins. If it is not going ahead, record it as Not delivered. A manager can then take it off the schedule.

What does the amber tag on a plan mean?

The plan has no learning plan goal linked. Open the plan and tick a goal before you send it on.
