Close a venue for some days

Shut a venue for a day or a run of days, sort out what was planned there, or archive it for good.

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For managers and admins. Closing days never cancels bookings by itself. It shows you what is still planned so you can deal with each one.

Steps

  1. Open the venue and go to Closed days.
  2. Choose the First day and the Last day. The last day cannot be before the first.
  3. Press Close these days. The page lists what is still planned at the venue on those days.
  4. For each session, choose to move it to another venue, send it back to its mentor, or cancel it.
  5. Or use the buttons to move or cancel them all at once.
  6. Send the emails, or press Close without emailing if the mentor already knows.
  7. Check the days now show as not open in the venue's Availability calendar.

If it goes wrong

  • If it says the days may not have closed, reload the venue and check before you press it again.
  • If you see that something cannot be changed from here, open it in the Planner instead.
  • If you shut the wrong day, reopen it from the same section.

How it links together

A closure removes the days from booking and from the venue calendar. It does not cancel anything, so the list of planned work is yours to sort. Moved or cancelled work reaches the mentor.

What closing does

A closed day shows as not open in the Availability calendar, and nothing new can be booked on it. The venue's weekly hours do not change.

Existing bookings are not cancelled for you. A closure does not delete sessions. The clash list shows what still needs action.

Sorting out what was planned

Before the venue closes, you see a list of what is planned there on those days. Each line can be moved to another venue, sent back to the mentor to change, or cancelled.

A cancelled session frees its room and keeps its record. A room booking that is not a session can be cancelled on its own, and nothing else changes.

Repeating closures

You can close a single day, a run of days, or the same days each week for a period. Choose the first and last day and, if the form offers it, the repeat.

Turning the venue off or archiving it

The turn-this-venue-off control stops new bookings from a date, and the venue shows as temporarily unavailable. Existing bookings remain visible.

Archive this venue is for a venue you no longer use. It asks you to confirm with Yes, archive it. The history is kept, and you can restore it from the Archived list.

Shutting one day from the list

On the Venues list you can click a day in a venue's fortnight to shut just that day. The same rules apply to anything planned on it.
