Set your closed days

Add inset days and closures, and say which bank holidays you work, so reminders and chases stay quiet.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For admins only. Reminders and chases are not sent on a closed day. Weekends already count as closed.

Steps

  1. Open Closed days from the menu.
  2. Under Add a closed day, choose the day. It must be today or later.
  3. Type why you are closed, for example an inset day.
  4. Press Mark closed. A green message confirms it.
  5. Check that the day appears under Your closed days.
  6. In the bank holidays list, press We're open on any bank holiday you work.
  7. To undo either, press Reopen on a closed day, or Close again on a bank holiday.

If it goes wrong

  • If the page says the day is already closed, it is a bank holiday or was added before. Nothing more is needed.
  • If you see that only an admin can do this, ask one to add the day.
  • If the list could not be loaded, reload the page. If it keeps happening, tell the platform team.

How it links together

Closed days feed the reminder and chase jobs, so no email goes out on them. They do not stop bookings. Venue closures are separate.

What a closed day changesIt quietens reminders, not bookings.
  1. Mark closedOr keep a bank holiday
  2. Reminders skip itAnd chases
  3. Bookings stayCancel on Scheduling

What a closed day does

Reminders and chases are not sent on a closed day. Deadlines treat it as a day off too.

It does not cancel sessions or stop anything being booked. To cancel booked work, use Scheduling.

Bank holidays

The system already knows the bank holidays for England and Wales, for about the next fifteen months. They count as closed unless you say you work them.

If you are open on one, press We're open. Reminders and deadlines then treat it as a normal day. Close again puts it back.

Your own closures

Add an inset day, a summer closure or any other day you shut. Each is a single date with a short reason, up to 120 characters. Add one line for each day.

Reopen removes a closure. It cannot be undone, but you can add the day again.

Venue closures are separate

These closed days are for the whole organisation. To shut one venue for a few days, use that venue's own page. The venue guides explain it.

Who can change them

Only admins can add or remove closed days. The page sits in the administrators' section of the menu. A manager who needs one added should ask an admin.
