See every venue's week

Read one grid of all venues for a week, spot a clash, and open any day room by room.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

Anyone with venue access can read this page. It answers: who has each venue, and for which young person?

Steps

  1. Open the calendar from the Venues page. It opens on this week.
  2. Read down the rows. There is one row for each venue and one column for each day.
  3. Each booking names the room, the mentor and the young person.
  4. Use the arrows to move a week at a time. Choose This week to come back.
  5. Use the area filter to show only the venues you look after.
  6. Click a day in a row to open that venue on that day, room by room.
  7. Choose All venues to go back to the list.

If it goes wrong

  • If a venue you expect is missing, check the area filter first.
  • If a day shows Not open or Venue closed, nothing can be booked there. Look at the venue's Closed days.
  • If two bookings look like a clash, open the day and check the rooms. Move one in the Planner.

How it links together

The grid reads the same bookings as Scheduling and the venue pages. It shows closures and hours too. It is for looking, so changes are made at the venue or on Scheduling.

What each box means

  • Free: the venue is open and nothing is booked.
  • A booking: the room, the mentor and the young person it is for.
  • Not open: the venue's weekly hours say it does not run that day.
  • Venue closed: someone shut the venue for that day.
  • Some rooms shut: the box says how many of the rooms are closed.

A small mark on a booking means sole use, which means the whole venue is held for it. All day means the booking covers the morning and the afternoon.

Why use it

The month calendar on a venue's page shows whether that venue is free. This page trades that breadth for detail across venues. It is the quickest way to scan for a double booking.

Moving around

Pick any week with the arrows. If you open it with a date that is not a Monday, it moves to that week's Monday. That keeps the columns under the right days.

Opening a day

Every box opens that venue on that day, not on today. There you see each room, who has it and when, and you can book a room.

Closed days are included

A day a manager has shut shows as closed here, the same as on the Venues list and the venue's own month. It will not show as free.

Questions people ask

How do I find a free room for next Tuesday?

Move to next week, find the venue's row and read Tuesday's box. Free means nothing is booked.

What does Not open mean?

The venue's weekly hours do not include that day. No room is offered, so nothing can be booked.

Why does a venue show closed when its hours say it is open?

Someone shut it for that day. Open the venue and look at Closed days.

Can I book from this page?

Not directly. Click the day to open the venue, then use Book a room there.

How do I see only my area?

Use the area filter at the top of the grid. It shows only the venues in that area.

What is sole use?

The whole venue is held for one booking, so nobody else can use any room at that time.
