See what happened across the service

Read the daily timeline, spot stuck work, send a reminder and check which emails the system sent.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For managers and admins. Activity is a read-only picture of the day. It does not change any record.

Steps

  1. Open Activity from the left menu. It opens on What happened for today.
  2. Read the tiles at the top, such as Went ahead, and the counts for write-ups that are late or sent back.
  3. Use the day arrows, or choose a date, to look at an earlier day.
  4. Narrow the timeline. Pick a person from Everyone, a source from Everywhere, or a group from Everything.
  5. Read Checks · right now. Each group says All clear or lists examples that need a look.
  6. Where an example shows a reminder button, press it to nudge the person who owes the work.
  7. Choose Emails sent to see what the system emailed, and use the period buttons such as Last 7 days.

If it goes wrong

  • If you cannot open Activity, your role may not include it. Ask your admin to switch it on for you.
  • If a warning says part of the day could not be read, refresh. Some activity may be missing until you do.
  • If a reminder fails, try again in a moment. Check your connection first.

How it links together

Activity reads events from planner bookings, write-ups, sign-offs, rooms, photos and the emails the system sent. It does not store anything of its own.

A reminder sent from here arrives as a notice for the person who owes the work. See the guides on your inbox and on the audit log.

What the timeline shows

The timeline lists what happened across the service on one day. It covers sessions scheduled, delivered, missed, written up, signed off and sent back. It also lists plans made, rooms booked, photos added and people taken off the rota.

Edits show which parts changed, never what they were changed to. Typing that saves as you go is not shown. Sign-in times are known for today only.

Choose a day and narrow the list

Today updates on its own. For another day, use the previous and next arrows or pick a date. A button takes you back to today.

  • Choose a person to see only what they did that day.
  • Choose where changes were made: the tablet app, the website or the system. Changes made by the system are left out when you pick a place.
  • Choose a group, such as service concerns, system problems, sign-offs and sent back, or planning and rooms.

If nothing is shown, the page says whether the day is empty or the filter hides everything. Choose Everything to see the rest.

Numbers and checks

The side panel gives numbers for the day. They include write-ups waiting for sign-off, plans waiting for approval, errors people saw, saves that were refused, concerns raised and messages sent by the system.

Checks · right now runs live checks on stuck work, room problems, broken records, unusual activity and courses. Each check is either All clear or shows examples.

Emails sent

Emails sent lists every email the system sent for your organisation. For each one you can see who it went to, what kind it was and whether it went.

Choose a period. The options are today, Last 7 days, 30 days and 90 days. Search by address or subject, or filter by email type.

A row marked Not sent means the email provider did not accept it. Recording began on 16 October 2026, so earlier emails are not listed.

Questions people ask

Who can see the Activity page?

Managers and admins by default. Your admin can switch it on for other roles.

Does Activity show what people changed their notes to?

No. It shows which parts changed, not the new words. Open the record itself to read it.

Why is nobody's sign-in time shown for last week?

Sign-in times are only known for today. Earlier days show the work that was done instead.

What does the reminder button do?

It sends the person who owes the work a reminder inside the system. You will see who was reminded.

Where is an email I expected?

Open Emails sent and search by address or subject. Check Not sent too. Earlier emails are not recorded.

Does the page refresh by itself?

Today's view does. For another day, refresh the page to see changes.
