Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

Checklists are completed by staff, not sent to anyone. Managers and admins reach them from Questionnaires, using Record check or Fill in.

Steps

  1. Open Record a routine check. Look at Routine checks to do first. Those venues are overdue.
  2. Under Pick one to record, choose the checklist. A row marked Up to date has been done within its cycle.
  3. Choose the venue from — Pick a location —. Only venues you look after are offered.
  4. Tick or answer every question. Required ones must be done before you can save.
  5. If it needs a signature, tick the confirmation box and Type your full name to sign.
  6. Press Record check. When Check recorded appears, press Record another for the next venue.

If it goes wrong

  • If it says to pick a location, choose a venue first. Nothing was saved.
  • If it asks for your name or the confirmation box, fill those in and press the button again.
  • If no checklist is listed, none is published yet. An admin can publish one from the templates list.

What a checklist is

A checklist is a form with the category Checklist. It is a routine check, such as a safety walk-round, that a venue needs on a regular cycle. Each checklist has a number of days between checks.

Overdue checks

Routine checks to do lists each venue and checklist that is overdue. Each row shows the date of the last check, or Not started yet, and the cycle in days. The same list appears at the top of the Questionnaires page.

The list of checklists

Under Pick one to record you see every published checklist, with a count of how many venues are overdue for it. Press one to open the form.

Which venues are offered

Only venues you manage are offered, because only those can be checked. Overdue lists are limited to the same venues. If a venue is missing, ask an admin to check your access to it.

Signing

When a checklist needs a signature, you tick a box to confirm the statement above it and type your full name. The name and time are saved with the check.

After you record

The check is saved against the venue and the cycle starts again. Press Back to questionnaires to return, or Record another for the next venue.

How do I know a check has counted?

The venue stops appearing under Routine checks to do until its next cycle is due.
