Find and add resources

Browse the library of worksheets and materials, search it, add a link to a file and, if you manage it, tidy the library.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For everyone. The library holds links to files, not the files themselves. Managers and admins can edit and tidy it.

Steps

  1. Open Resources in the left menu. Folders are shown first.
  2. Open a folder to see what is Inside this folder. Use the trail at the top to step back up.
  3. To search, type in Search resources. Narrow the list with the need filter, Filter by venue and Filter by kind.
  4. Open a card to open the file it links to. Results appear under Matching resources.
  5. To add one, find Add a resource. Type a Title, paste the Link and choose a Kind and Folder.
  6. Choose the needs it supports, add a description if you like, and press Add to library.
  7. If you manage the library, use Move to folder or Remove from the library on a card.

If it goes wrong

  • If the library cannot load, use Reload this page. If it keeps failing, tell your admin.
  • If a save cannot be confirmed, reload and check the library. The resource may already be there.
  • If you removed one by mistake, a manager can bring it back from Removed resources.

How it links together

Resources are links to files in your organisation's storage. Adding one puts it in the library for everyone who can open the page, and linked venues can show it too.

Removing a card never deletes the file. See the guides on venues and on planning, where materials are used.

Getting a file into the libraryStore the file, add its link, then colleagues find it by folder or search.

What the library is

The library is a searchable index of session materials such as worksheets, guides and activity ideas. Each card links to a file kept in your organisation's own storage, such as SharePoint.

Moving a card, renaming it or removing it changes the library only. The file it points to is never moved or deleted.

Browse by folder

Folders can sit inside other folders. The trail across the top shows where you are. The number on a folder is how many resources it holds.

If a folder only holds other folders, the page says to open a folder to see what is in it.

Search and filter

Search looks at titles and descriptions. Add a filter for the need, the venue or the kind of resource. Filters combine, so each one you add narrows the list.

If nothing matches, the page asks you to clear one filter and try again. Long lists are split into pages with Previous and Next.

Add a resource

Put the file in your organisation's storage first. Copy its link, then use Add a resource. The form can fill in a title and kind for you once you paste the link. Check them before you save.

Choose the folder it belongs in, tick the needs, and write a short description. Then press Add to library.

Tidying the library

Managers and admins see extra controls on each card. They can edit the title and description, the kind, the link and the need tags, and link a resource to venues.

Move to folder opens a form. Pick an existing folder or type a new path using a slash between levels. Remove from the library takes it out for everyone but keeps the file.

Removed items are kept. Open Removed resources to restore one. The linked file and its saved details come back with it.

Questions people ask

Why can't I open a resource?

The library only holds the link. You may need access to the file in your organisation's storage. Ask who owns the folder.

Can I upload a file straight into the library?

No. Put it in your organisation's storage, then add its link here.

I cannot see the edit buttons on a card.

Editing is for managers and admins. If you think you need it, ask your admin.

I removed a resource by mistake.

Ask a manager to open Removed resources and restore it. The file was never deleted.

What do the tags on a card mean?

They show the areas of need the resource supports. You can filter by them.

How many characters can a title have?

Up to 200 for the title and 4,000 for the description. The form tells you if you go over.
