For everyone with an account. Your profile is your own staff record. Other people only see the parts your organisation shares.
Steps
- Open the account menu at the top right and choose Profile.
- Start on the Details tab. Check your name, Known as, Job title and Work phone.
- Add or correct Personal phone and your home address if your organisation asks for them.
- If you manage a team, you also see Vetting and Payroll. Check them as well.
- Choose Save. The page says when it has saved, and when it was last changed.
- Look at Training to see your own courses. Use Security for your password and sign-in.
If it goes wrong
- If the page says your record could not be loaded, choose Reload Profile. If it keeps failing, tell your admin.
- If Save will not work, read the line next to the field. It says what to fix.
- To change your sign-in email, ask your admin. Only an administrator can change it.
How it links together
Your profile is your staff record. The staff list, rotas, working pattern and training all read the same record, so a correction here shows there.
Your sign-in email and password are held by the sign-in system, not the profile. See the guides on changing your password and on inviting a person.

What your profile is
Your profile is your staff record. It holds your name, how people reach you, and, for people who manage a team, the checks and payroll details kept about them.
If you have an account but no record yet, one is made the first time you open this page. You do not need to ask for it. It starts with your name and sign-in email.
Details you can change
Details holds your name, Known as, Job title, phone numbers and address. The note beside each group says who can read it.
- Colleagues on the same team can see your name and work number.
- Your address and personal number are seen only by administrators and managers.
- Known as is shown everywhere in place of your first name. Your legal name stays on the record.
Vetting and payroll
Vetting and Payroll are only shown if you are a manager or an admin. Everyone else sees Details only.
Vetting is checked by a manager before someone goes on a rota. A person cannot vouch for their own checks, which is why it is kept apart.
Saving your changes
Edit as many fields on a tab as you like, then choose Save. The page shows Not saved yet. while there are unsaved changes, and Saved. afterwards.
It also shows when the record was last changed and by whom. If the answer is not you, ask who made the change.
Where your password and sign-in live
A note on the page says your sign-in email and password are changed in Security. Your profile never shows your password.
If your admin needs to change your sign-in address, they can do it from your record. You cannot change it yourself.
Your own caseload, activity and training
Besides your details, the record has tabs for your caseload, your recent activity and your Training. They are for reading. They show your own work only.
Your admin sees one more tab, for your working pattern.
