Sign off the plans people send you

Read each plan waiting in the planning tab, sign it off or send it back with a reason, or sign several together.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For managers and admins. When a mentor finishes a plan, it comes to you to check. This is separate from signing a write-up, which happens after the visit.

Steps

  1. Open Home. Under Needs you now, press the Sign-off queue tile.
  2. Choose the second tab, the planning one. Its number is how many plans wait.
  3. Press Review on a row. The plan opens in a window: date, time, venue, the plan, prep notes and goals.
  4. If it is good, press Sign & next. On the last one the button reads Sign.
  5. If it needs changes, press Send back. Write what needs fixing, then press Confirm send back.
  6. Press Skip to leave one for later, and Done when you have finished.
  7. To sign several, tick their boxes and press Sign off selected. Read each one first.

If it goes wrong

  • A plan of your own cannot be selected. Another manager signs it.
  • Confirm send back says Say what needs fixing before sending it back. Type the reason and try again.
  • Signing too fast? Wait a few seconds. Your place is saved.
  • Changed your mind about a selection? Press Clear.

What you are signing

A plan sign-off says you have read the preparation and are content with it. It does not say the visit happened. A signed plan can still be changed until recording starts.

Read before you sign

  • Is it linked to a goal the young person is working on?
  • Does the intent say what the session is for?
  • Is the place clear, and is a room held if one is needed?
  • Are the prep notes useful to another colleague?

A plan with no goal is marked in the list. Those are the plans most often sent back, so look at them first.

Sending one back

Give a specific reason: which part, and what to add. The mentor is told at once, with your words as the headline of the message. They fix the plan and press Resubmit planning. It returns to your queue.

Signing in bulk

Tick the plans you have already read. A bar shows how many are selected, with Sign off selected and Clear. A window lists them and shows who signed and who failed. Plans you wrote yourself cannot be ticked.

Mine and everyone's

If your list is narrower than the whole service, a choice appears to see everyone's, so you can cover for a colleague. Check the filter before you assume a plan is missing.

How it links together

This queue is the second tab of the same Sign-off queue that holds write-ups. A signed plan shows its badge in the Planner; a returned one sends the mentor a message and appears as sent back. See the guide to fixing a returned plan and the guide to plan checks.

Questions people ask

What is the difference between signing a plan and signing a write-up?

A plan is signed before the visit and says the preparation is sound. A write-up is signed after, and says the account is complete. They sit on separate tabs of the same queue.

Why can't I sign a plan I wrote?

Someone else has to check it. The row says your own plan is signed by another manager.

What does the mentor see when I send a plan back?

A message with your reason as its first line. They change the plan and send it again.

Can I sign many plans at once?

Yes. Tick them and press Sign off selected. Read each plan first, because signing says you have.

Why is the planning tab empty?

Nothing is waiting, or your list is narrower than the service's. Check the choice that shows everyone's queue.

Does signing a plan stop the mentor changing it?

No. They can still change it until recording starts.
