For managers and admins. Every import is listed at the foot of the bring data in page, with what it wrote and an undo while the time allows.
Steps
- Open the bring data in page and scroll to Every import so far.
- Find the import. Each line gives its name, when it ran, how many rows it held and what it wrote.
- If a chip says rows were not saved, press Show the rows that were not saved. Each row says why it was refused.
- Fix the cause in your file. Press Put the rows away when you have finished reading.
- To put the whole import back, press Undo on its line within the two weeks. Just after saving, the button reads Undo this import.
- Read the result. It says how many were put back and how many were left alone, and why.
- To try again, press Bring in another file and follow the steps. Bring in only the rows that need it.
If it goes wrong
- If the undo cannot be confirmed, the page says so. Reload and look at the list before pressing it again.
- After two weeks there is no undo. Those records are the service's own, and taking one off is a decision about a person.
- Rows left alone were changed after the import, so the undo did not touch them. Check them by hand.
How it links together
Undoing removes only what the import changed. Records that people have since edited are left alone. Fixed rows go back through the Studio.
- Import saved
- Read the list
- Undo or fix
- Bring rows again
What the list tells you
Each import shows a status chip. Saved means it wrote records. Undone means it was put back. A run with refused rows is flagged in amber or red, and says how many were not saved.
Rows that were not saved
A row can be refused by the database, for example because a required value was missing. The page reads the refused rows back and groups them by the reason. A read can be cleared after a while, and then the page says so.
Fixing the file is half the job. The other half is bringing the right rows in. For a file of young people, bring in the corrected file again. Saved rows are recognised. For contacts, goals, consents and referrals, put only the refused rows in a new file.
How the two weeks work
A saved import can be undone until the date shown beside it. After that it cannot, and the page says why. This is deliberate. A record that has been used for two weeks has become a real record.
What an undo leaves alone
If someone changed a record after the import, the undo leaves it exactly as it is, because putting it back would lose their work. The report says how many it left and gives the reason. Those rows are still saved. Bringing the whole file in again would add them a second time.
Undone, with an unknown count
An import undone before the count of left-alone rows was kept says what is known. It asks you to look at the records before you bring the file in again. It never claims that nothing was left.
