What the Import Studio can read

The kinds of file it takes, what each kind writes to, how it tells whose row is whose, and its limits.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

The Import Studio is the one way to bring files into Daymello. It is for managers and admins. It reads a file, shows what it would do, and writes nothing until you save.

Files it can read

  • Excel workbooks (.xlsx) and CSV files (.csv, .tsv or .txt). The first sheet is read.
  • Word documents (.docx) and PDFs, but only for one filled-in referral form at a time.
  • Not scans or photographs. They hold no text to read, so send the original file.

The five kinds, and what each writes

  • Young people: creates records with reference codes and places them. It can also fill in details on records it recognises.
  • Contacts: adds parents, carers and professionals to young people who are already here.
  • Goals on a plan: adds targets to a plan that already exists. It never invents a plan.
  • Consents: adds what a family has agreed to, and when.
  • A referral form: puts a referral on the onboarding board for a manager to review and accept. It never creates a record by itself.

How it links together

Which kind you choose decides which records get written. Contacts, goals and consents attach to people who already exist, so start with the file of young people.

The order to bring files inPeople first, then what hangs off them.
  1. People
  2. Contacts
  3. Goals
  4. Consents

Headings and the first rows

The page finds the heading row for you and steps over a title line above it. It tells you which row it used and how many empty rows it left out. Whatever is on the first sheet comes across.

How it knows whose row it is

A contacts, goals or consents file must say which young person each row belongs to. It can use the reference code, the reference from the old system, or the name together with the date of birth. A name on its own is not enough, because two people can share one.

On those kinds only these identifying columns of the young person are offered. Otherwise a column mapped to their postcode would look as if it updated the record, and it would not.

Blank templates

If you have nothing to hand, download a blank file for the kind you need, with Download Excel (.xlsx) or Download CSV. The headings are ones the Studio already knows, so every column arrives matched. Use the Excel file if you can. Its cells are set to Text so a leading zero or a long number is kept exactly, and its second sheet explains each column.

A referral comes in as a filled-in Word document or PDF, so it has no blank template here.

Limits

  • A file can be up to four megabytes. Bigger ones are refused before they upload, with a sentence saying so.
  • A file can hold up to two thousand rows. Split a longer file and bring the parts in one after another, keeping the heading row in each.
  • Accents and special letters are checked. If one had to be guessed or was already lost, the page says so before you carry on.

Your organisation's own fields

The fields offered are the ones your organisation has set up, including its own extra ones. A field it has taken off the form, or one nobody may write, is not offered.

Who can run it

Managers and admins. Anyone else sees a page that explains why and points to adding a record one at a time.

Questions people ask

Can it read a photograph of a form?

No. A scan or photograph has no text in it. Send the original Word document or PDF.

Which file should I start with for a new service?

Start with the file of young people. The other kinds are added to records that already exist.

Why was my contacts file refused for 'whose row is this'?

Each row must say which young person it is about. Add the reference code, or the name and date of birth together.

My file has a title line above the headings. Will it work?

Yes. The page finds the heading row and tells you how many lines above it were passed over.

How many rows can I bring in at once?

Two thousand. Split a longer file and bring the parts in one after another.

Can I use my old system's export?

Yes, if it is a spreadsheet. Map its columns on the screen and save the mapping so the next file arrives matched.
