Export all your organisation's data and leave

Make a full backup, download it within the time limit, and run a leaving case that records receipt and the retention clock.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For admins, and data protection leads who can read the leaving case. Exports are kept for seven days.

Steps

  1. Open Admin, then the organisation export page. Press Export everything.
  2. Keep the tab open. A large export copies files in turn, and says how far it has got.
  3. If it stops, come back and press Continue export.
  4. Find the finished file under Recent exports. Download it within fifteen minutes of pressing download.
  5. To end your contract, open the leaving page. Choose a named signatory and press Start leaving process.
  6. Press Run export and record it, or record an export you already made.
  7. When the export is safely received, press Confirm receipt. Read Event history for the trail, and find the certificate.

If it goes wrong

  • If the download link has expired, press Download again for a new one.
  • If no signatory can be chosen, give an administrator or data protection role to someone first.
  • If you started a leaving case by mistake, use Cancel this case. Nothing already exported is deleted.

The full export

A one-click backup of every table that belongs to your organisation, as a ZIP of data files, with your stored files copied beside it.

Use it when you leave, for audits, or to keep an offline archive.

Time limits

A finished export is kept for seven days, then the archive and copied files are deleted. A download link works for fifteen minutes.

Only one export can run at a time. If one is running you are offered Continue, not a new one.

The leaving case

The leaving page takes you through exporting everything, confirming receipt and seeing where you sit on the retention clock.

Starting a case needs a named signatory, who signs the completion certificate. Only admins can start, export, confirm or cancel.

What it does not do

Nothing here deletes or seals data. Sealing is a separate step that needs the owner's approval, and the button is disabled everywhere.

The page also shows sealed children, when the earliest and latest turn twenty-five, and open safeguarding concerns.

Keep the export safe

How it links together

The export reads every part of your organisation: records, write-ups, plans, concerns and files. Each export and download is written to the audit log.

For one area or commissioner, use bulk export instead. See the guides on bulk export, on subject access requests and on retention.
