Set the planning rules

Choose whether a missing venue or goal stops a plan being sent, and how far ahead plans can be prepared.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

For managers and admins. Each rule is a check on work being sent in. You choose how strict it is for your whole organisation.

Steps

  1. Open Rules from the menu.
  2. Read what each rule does. The page lists the rules you may change.
  3. For a rule with choices, pick Stop it, Remind them or Don't check.
  4. For the preparation limit, type a whole number of days. Zero means no limit.
  5. Wait for the page to finish saving. The change applies to everyone straight away.
  6. Reload the page and check the rule shows what you chose.

If it goes wrong

  • If you see a message that there are no rules for your role, ask an admin, or tell the team.
  • If a number is refused, use a whole number from 0 to 365.
  • If a rule is getting in the way, choose Remind them rather than Don't check. People are still told.

How it links together

Each rule is read by the database, so it applies on the website and in the tablet app. It changes what a mentor can send in from the Planner, and who is warned.

How a rule reaches a planOne setting, every screen.
  1. You chooseStop it, remind them or do not check
  2. SavedFor the whole organisation
  3. A plan is sentFrom the Planner
  4. CheckedBlocked, warned or passed

What the three choices mean

  • Stop it: the person is told what is missing and cannot send the work until they add it.
  • Remind them: the person is told what is missing, and can send it anyway.
  • Don't check: nothing is said.

The rules you can set

  • A plan must say where the session is, before it goes to a manager.
  • A plan must be linked to one of the young person's open goals, when they have any.
  • Plans can be prepared this far ahead. The number is in days, and zero means no limit.

Until you choose, the first two stop the plan and the limit is 21 days. Nothing changes for your organisation until you change it.

Who sees what

You only see the rules your role may see, and a control only where you may change it. A rule appears only when the system really enforces it.

A rule about a note on a child's safety is never offered here. Those checks cannot be relaxed.

What happens when you change one

The change applies to everyone in your organisation straight away, on the website and in the app. It is recorded with who made it and when.

A rule that stops people is the safest default. Relax one only if it is getting in the way of work that needs to be done.

Other settings that work this way

The page ends with links to report timings, attendance alerts and modules. They are set in the same way.

Questions people ask

What is the difference between Stop it and Remind them?

Stop it blocks sending until the gap is filled. Remind them says what is missing but lets the person send anyway.

Who can change the rules?

Managers and admins. Other roles see a message that there are no rules to show.

Does a change affect the Android app?

Yes. It applies on the website and in the app at once, to everyone in your organisation.

How do I see who changed a rule?

Every change is recorded with who and when. Ask an admin if you need the history.

What does 0 days mean for how far ahead plans can be prepared?

It means no limit. A mentor can prepare a session as far ahead as they like.

Can I turn off the check on safety notes?

No. Rules about a note concerning a child's safety are never offered, so they cannot be switched off.
