Enter a concern in a commissioner's own system

Copy a ready summary of a concern, or of attendance, into a commissioner's own system on time, record their reference, and set up how each commissioner wants it.

Checked against the screens:

Every organisation can choose its own words for the people and roles it works with. When you are signed in, this guide uses your organisation’s words. Otherwise it uses the product’s own.

Many commissioners need each concern entered in their own system too, often on the same day. Daymello says which ones, by when, and gives you the summary to paste.

Steps

  1. On the safeguarding list, open the For commissioners tab. The soonest due is first.
  2. Press Open the concern.
  3. In For the commissioner, read the summary. Change anything that should not leave your organisation.
  4. Press the copy button. The summary is saved here exactly as copied.
  5. Paste it into their system.
  6. Come back, type their reference if they gave one, and press the button that says it is in their system.

If it goes wrong

  • If your browser will not copy, the summary appears in a box. Select it and copy it with Ctrl+C.
  • If you are told who enters it for that commissioner, ask one of them, or ask a DSL to add you.
  • If nothing shows on a concern, its commissioner may not be set up yet.

Set up a commissioner once

A DSL or an admin does this. On the safeguarding list, open Manage and choose Commissioners' systems. Press Set up beside the commissioner, or Change if it is set up already.

  • Which system: CPOMS, MyConcern, their own form, an email or call to their lead, or another system. Add a link to it if you like.
  • By when: the same day, the next working day, or a number of working days, and the time it is due by.
  • Who enters it: a DSL always can. Tick Whoever raised it, a manager, an admin or Named people as well.
  • Which concerns: every category, or only some.
  • The headings: rename and reorder them to match their form, and untick any they do not ask for.
  • A note for whoever enters it, such as which account to sign in with.

Press Save. The row then says, in one line, where its concerns go, by when and who enters them.

When it is due

The same day means by the chosen time on the day it was raised. A concern raised after that time, or on a day you are closed, is due by that time on the next working day.

Only concerns raised after a commissioner is set up fall due, so older concerns do not all appear at once.

What goes in the summary

The facts: when and where it happened, the level and the category, and what happened, with the words said.

Then the action taken, who has been told, any referrals, the decision, the follow-up date and who to contact.

The recorder's opinion is never included. A heading with nothing recorded says so, rather than vanishing.

Once copied, the summary cannot be changed. If something changes, prepare a new one, and the first stays on the record. Use Copy again to copy the same summary a second time.

Who can see it

Only people who can open the concern see this card. A category kept to named people stays kept. Someone who may not enter it is told who does.

It is switched off for an organisation until an admin switches it on under Switches.

Attendance

A commissioner can have an attendance rule too. Press Set up on its attendance line. Under What to send, tick Each missed session, choose a regular summary, or both.

  • A summary is one per young person: daily, weekly from Monday to Sunday, or each half term.
  • A summary is due by the chosen time on the first working day after its period ends.
  • For attendance, Whoever recorded it means the person who recorded the attendance.
  • Lateness and early leaving will follow, once arrival and leaving times are recorded.

Attendance to enter shows on the For commissioners tab, under the concerns. Press Check and copy on a row, read the text, copy it, and record their reference.

What is kept here

Each summary stays with the concern: who made it, when it was copied, who said it was entered, and their reference. Every change is in the audit trail.

If a commissioner asks what you sent, open the concern. The summary that was copied is under its card, word for word.

Questions people ask

Can whoever raised the concern enter it?

Yes, if the commissioner is set up that way. Tick Whoever raised it under Who enters it. You can also tick Named people and choose them.

Does Daymello send it to the commissioner?

No. You paste it into their system yourself. Daymello records who copied it, when, and their reference.
