Watch the fifth part.
For managers and admins. You can change up to 100 sessions in one go. Each is checked on its own.
Steps
- Open Scheduling and go to the week. Tick Select sessions at the top of the grid.
- Tick the box beside each session you want to change. They can be on different days and rows.
- Read the bar at the foot of the page. It counts how many are ticked.
- Choose what to do: change the time, change the mentor, move to another date, cancel, or restore.
- Fill in the new time, mentor or day if the action asks for one.
- Read the list of sessions in the box, then confirm. Use Go back if you have changed your mind.
- Read the summary. It lists any sessions that were left alone, and why. Press Done when finished.
If it goes wrong
- If some sessions were refused, the others still changed. Fix the cause shown for each, then tick those again.
- If you cancelled the wrong ones, press Undo in the summary straight away.
- If the connection dropped, nothing was changed. Check your connection and try again.
How it links together
Each ticked session goes through the same checks as a single edit, so the Planner, rooms and the tablet app all agree. The summary tells you what was refused.
- TickSwitch selection on
- ChooseCancel, retime, hand over, move or restore
- Checked one by oneLocked weeks and past days are refused
- SummaryUndo is offered after a cancel
Turning selection on
Select sessions turns every box in the grid into tick boxes. Only managers and admins see the switch.
Past days are not offered. A session that has already happened is changed from its own record. A box in a week that has been sent for approval says to return that week first.
The five actions
- Cancel frees each room and keeps the record, so it can be restored.
- Restore puts cancelled sessions back on the schedule. Tick Show cancelled first to see them.
- Change time gives every ticked session a new start time on the same day. Rooms are checked for the new time.
- Change mentor hands the ticked sessions to someone else, at the same days and times. Only managers and admins can do this.
- Move to date moves them to another day at the same times. You cannot move into the past.
Each one is checked on its own
The system goes through your ticks one at a time. One refusal does not stop the rest. The summary says how many changed and lists each one that did not.
- A session that is already as you asked is reported as nothing more to do.
- A session that has since been written up, cancelled, moved or edited by someone else is left alone.
- A session in a locked week is left alone. Return that week to the mentor first.
- A change that would clash with another session, a duplicate or an unavailable room is refused with a sentence.
Limits worth knowing
- At most 100 sessions can be changed at once. Do 100, then tick the next lot.
- Cancelled sessions that are ticked with others are left alone by every action except restore.
- Moving a session to another day releases its room. Book a room for the new day if it needs one.
- The same session cannot be ticked twice in one go. If that happens, refresh and tick again.
After you confirm
The summary stays at the foot of the page. After a cancel, an Undo link puts back exactly the ones that were cancelled.
